Our divisions and support teams include over 300 dedicated people. Today, we are looking for a Division Coordinator for the Quantum Internet Division.
Job Description
The Division Coordinator acts as the key link between the divisions and central support teams, ensuring seamless day-to-day operations. As the coordinator of a large and complex divisions, you will oversee operational and financial planning, be the central point of contact for the Principal Investigators, and ensure that the entire division runs efficiently and is well supported. Together with the Division Research Lead you form the Division Management Team, guiding the division’s strategy. You will report directly to the General Director of QuTech.
On daily basis your responsibilities will be:
- Supporting the division’s strategic planning for both short- and long-term goals.
- Overseeing operational, personnel, and financial planning on an annual and multi-year basis.
- Managing the annual agenda, tracking recurring activities such as reviews and proposal calls.
- Supervising division support staff, such as programme managers, management assistants, and engineers.
- Serving as the primary point of contact for Principal Investigator within your division, providing support in resolving issues and fostering positive group dynamics.
- Organizing and preparing divisional meetings, progress reports, and budget overviews.
- Coordinating outreach and external communication, including events, press releases, and the annual report.
- Working hands in hands with the business development team by helping identify opportunities, develop proposals, negotiate contracts, and contribute to IP production.
The Division Coordinator co-leads the Division Management Team (DMT) alongside the Division Research Leader, guiding the division’s strategy.
Requirements
- Academic or HBO degree (preferably in natural sciences).
- 4+ years as an Operation Manager, Programme Manager or similar role, ideally in an academic setting.
- Experience in project planning, budgeting, and people management.
- Strong analytical and problem-solving skills.
- Proactive, strategic thinker with a hands-on mentality.
- Ability to connect to people and to navigate complex environments.
- Excellent communicator in English, Dutch proficiency will be a big plus.
- Project management certification, is a plus.

Conditions of employment
As a Division Coordinator, you will receive a one-year employment contract with TU Delft, with the possibility of a permanent position thereafter. Your salary will be based on your experience and aligned with scale 11 or 12 of the CAO for Dutch Universities, ranging from €4,728 to €7,297 gross per month for a full-time (38-hour) workweek. - A job of 38 hours per week.
- 8% holiday allowance and an end-of-year bonus of 8.3%.
